Car Hire on Arrival

Service Personnel (SP) posted to Canada may be entitled to an exceptional allowance of up to five (5) days’ car hire on arrival in country. This entitlement applies on arrival only and does not apply on departure.

Any requirement for car hire beyond the initial five‑day period must be supported by prior approval from the appropriate Budget Manager.

SP are responsible for self‑booking the hire vehicle.

The vehicle selected must be appropriate to family size and operational need and should not be oversized. However, SPs must also ensure the vehicle has adequate capacity for accompanying luggage.

Fuel costs are not claimable under this entitlement.

All claims must be submitted directly to the BDLS Finance Administrator (FA) for processing using the JPAF016 claim form provided. This entitlement must not be claimed through JPA.

Claims must be submitted within ninety (90) days of arrival.

Checklist – Car Hire on Arrival

☐ Confirm eligibility for up to five (5) days’ car hire on arrival

☐ Obtain prior Budget Manager approval if car hire is required beyond five days

☐ Obtain JPAF016 claim form from BDLS FA

Self‑book the hire vehicle

☐ Select a vehicle appropriate to family size and operational need

☐ Ensure the vehicle is not oversized

☐ Confirm sufficient space for accompanying luggage

☐ Retain all hire documentation

☐ Retain invoice and proof of payment

☐ Note that fuel costs are not claimable

☐ Complete the JPAF016 claim form

☐ Attach invoice and proof of payment

☐ Submit the claim directly to the BDLS Finance Administrator (FA)
